Purpose of this Functionality
Problem-solving is available in the Improvement Opportunity module. It was developed for when a company faces a difficulty or adversity that requires special attention and monitoring.
Initially, they are visible to all users with UG viewing permissions, allowing a user who is not a participant in this solution to view it.
This functionality, therefore, ensures the security of certain information that the company wants to protect. It also allows more privacy in cases of solutions that are exclusive to a small group.
Enabling Confidentiality
First, you need to enable the confidentiality option in problem-solving. To do this, go to Settings, and in the Improvement Opportunity menu, access Rules Settings.
Filter options will appear for you to choose which one you want to enable. They are: Classification, Method, and Phase.
Select the options according to the criteria in which you want to authorize confidentiality and click Filter. If you want all of them to have this option, enable them one by one.
After filtering, go to key fields and look for Confidential. You can enable both a Creator and a Viewer to perform this function.
The confidentiality option will only be available for the criteria in which it was authorized.
To create a new Problem Solution and make it confidential at the time of creation, you need to authorize confidentiality in the "In Identification" phase.
How to Use Confidential Problem Solving
Once confidentiality is enabled, it’s time to create a confidential solution.
Go to the Improvement Opportunity module and select the solution you want to make confidential. After that, with the tab open, click on the name of this object, and a pop-up for editing will appear on your screen.
Look for the Confidential option and select Yes to make the change. Then, click save.
If you want to create a new one, just follow the normal creation process and, in the end, mark the Confidential option as Yes.
Groups with Access to Confidential Problem Solutions
You can configure a group to have access to confidential problem solutions and to perform some actions in the workflow. Learn more about how to do this in the article: Configuring a Group of Users with Access to Confidential Objects.
Linking Confidential Problem Solving
The links of Confidential Problem Solving work normally and can only be viewed by those who participate in it. To link other objects to it, simply complete the linking process normally.
There is only one exception: a confidential problem solution cannot be linked to a common problem solution, and the reverse process also cannot be performed.
