Project Portfolio
What is the purpose of this functionality
We will now present the functionality that allows creating Projects and/or Initiatives in a Confidential manner. This possibility will be available in the Project Portfolio module, aiming to protect sensitive information and ensure the privacy of projects involving confidential data, intellectual property, or strategic company information. This functionality allows users to restrict access to specific projects only to selected participants, increasing security and trust in the use of the platform.
How to configure the confidentiality rule for Projects and/or Initiatives
To configure this rule, it is necessary to access the system with a user who has Administrator or Super User permission. When accessing the system's Settings menu, search for Rule Settings or navigate to the options in the "Project Portfolio | Rule Settings" module.
Upon loading, note that it is necessary to specify the desired "Classification, Method, and Phase". The settings can be configured for each Phase, each Method, and each Classification for each project function.
For example: In certain types of projects, I want the "Project Leader" to be able to change the confidentiality of their projects in any phase. Therefore, they need to have editing permission for the Confidential rule of these projects in all their phases.
How to add a confidential Project
With the configured rule granting permission for the Project's Primary Function to have editing permission in the confidentiality rule, at least in the Initiation phase of the project, as demonstrated in the previous step, simply add a new project by providing the Classification and Method that have such rule configured. When selecting them, the option to define the project's confidentiality will appear at the end of the creation screen.
Important:
- Only participants of the confidential project will have access to it.
- The confidential project has an icon next to its description that identifies it as a confidential project.
- Confidential projects do not appear in the project listing for users who do not participate in the projects. However, in the Summary report (My Dashboard | Summary), all projects will be counted, but only those that the user has access to will be displayed.
- Tasks created in the Schedule or in Action Plans of a confidential project will be hidden from other users who do not participate in the project. Therefore, in the Summary report (My Dashboard | Summary), all tasks will be counted, but only those that the user has access to will be displayed.
- If a task from a confidential project is assigned to a user who does not participate in the project, this task will be displayed to the user in the task list of "My Dashboard".
How to add a confidential Initiative
The steps to add an Initiative are very similar to those of a Project. With the configured rule granting permission for the Initiative's Primary Function to have editing permission in the confidentiality rule, at least in the "In Identification" phase of the Initiative, as demonstrated in the rule settings step, simply add a new Initiative by providing the Classification and Method that have such rule configured. When selecting them, the option to define the Initiative's confidentiality will appear at the end of the creation screen.
Important:
- Only participants of the confidential Initiative will have access to it.
- The confidential Initiative has an icon next to its description that identifies it as a confidential Initiative.
- Confidential Initiatives do not appear in the Initiative listing for users who do not participate in them. However, in the Summary report (My Dashboard | Summary), all Initiatives will be counted, but only those that the user has access to will be displayed.
- Tasks created in Action Plans of a confidential Initiative will be hidden from other users who do not participate. Therefore, in the Summary report (My Dashboard | Summary), all tasks will be counted, but only those that the user has access to will be displayed.
