What this feature is for
A Performance Assessment is carried out in order to assess the performance of employees within the organization. The evaluation is carried out using the Questions and Answers form registered in the Evaluation Matrix. The managers perform the evaluation of their subordinates by selecting the answer for each available question and, thus, the final grade of the evaluation will be calculated.
Assessing the team
In order to evaluate their subordinates, it is necessary to exercise a leadership position (option available in the user registration) and it is also necessary that there is a Performance Evaluation Cycle in force in the current period. To learn more, click here.
Access the menu Individual Performance > Manage Evaluation. The subordinate users' cards will be displayed.
Choose a user to evaluate and click on the card.
The Performance Evaluation is made up of some sections, which are:
- Questions and Answers: where you will evaluate the subordinate according to the desired answers for each question. It is also possible to comment on each questions group in the Facts and Data field, if the Evaluation Cycle is configured to display this field.
- Results: where you must inform the results and contributions to the area, strengths and points to be developed by the user being evaluated.
- Individual Development Plan: where you or the subject can register tasks that are relevant to the subject's development.
- Comments: where you or the subject can insert comments related to Performance Evaluation. This section is displayed if the Performance Evaluation Cycle is configured for this.
After answering all the items in the Questions and Answers section, you must complete the fields in the Results section. Thus, it will be possible to complete the Assessment and it will be sent for Approval by the assessed user.
Self-assessment
When enabling this feature in the cycle, the user will be evaluated in his Self-Assessment, where it can be answered in parallel to the assessment carried out by his immediate leader.
It is important to remember that a Self-Assessment is available up to the date defined in the Performance Evaluation Cycle.
Flow by rated user
Access the menu Individual Performance > My Evaluation.
It will be displayed in the first available performance evaluation, which can be evaluations already completed, in approval or the cycles that have Self-Assessment.
Select the cycle in which to perform the Self-Assessment, the screen will be displayed containing the same as previously mentioned.
After answering all items in the Questions and Answers section, you must complete the fields in the Results section in order to complete the Self-Assessment.
When completed, it will be sent to your immediate leader for approval.
Flow by the Evaluator (immediate leader)
After the two assessments are completed (Self-Assessment and Assessment by the leader), it will be necessary to approve the assessment.
In this phase, you can make a comparison of the responses made by the subordinate user with the responses of the evaluating user. It is also possible to make the desired adjustments before approval of the Performance Evaluation.
Once this is done, you can approve the assessment and it will be completed.
Calculation of the Performance Evaluation Score
When selecting responses, Stratws will calculate the result of the Assessment.
The calculation is made using the Weighted Average, where the scores determined for the answers and the weight of the Questions / Questions Group are used. If weights are not informed in the Evaluation Matrix, the calculation will be made by Simple Average.
If some questions have weight and others do not, only those that have weight will be considered for the calculation.
Next, we have the calculation applied in several scenarios.
Scenario 1 - No weights reported:
Given that we have an Evaluation Matrix configured according to the images below, when evaluating a user, the system performed the calculation and reached the result of 3.00.
In this case, as we do not have informed weights, the Simple Average will be made.
Thus, the calculation was as follows:
= (4 + 3 + 2 + 3 + 3) / 5
= 15 / 5
= 3.00

Scenario 2 - Weights reported for Questions only:
Given that we have an Evaluation Matrix configured as shown in the images below, when evaluating a user, the system performed the calculation and reached the result of 2.67.
Thus, the calculation was as follows:
= ((3*3) + (3*2) + (2*1) + (2*2) + (3*1)) / 9
= (9 + 6 + 2 + 4 + 3) / 9
= 24 / 9
= 2.67

Scenario 3 - Weights reported only for Question Groups:
Given that we have an Evaluation Matrix configured according to the images below, when evaluating a user, the system performed the calculation and reached the result of 2.98.
The calculation first obtains the Score for each Questions Group and only then does it obtain the Final Score.
Thus, the calculation was as follows:
First Questions Group
= (3 + 3 + 2) / 3
= 8/3
= 2.67
Second Questions Group
= (3 + 4) / 2
= 7/2
= 3.50
Final Score
= ((2.67 * 5) + (3.50 * 3)) / 8
= (13.35 + 10.50) / 8
= 23.85 / 8
= 2.98

Scenario 4 - Weights reported for Question Groups and Questions
Given that we have an Evaluation Matrix configured according to the images below, when evaluating a user, the system performed the calculation and reached the result of 2.84.
The calculation first obtains the Score for each Questions Group and only then does it obtain the Final Score.
Thus, the calculation was as follows:
First Questions Group
= ((3*1) + (3*2) + (2*3)) / 6
= (3 + 6 + 6) / 6
= 15 / 6
= 2.50
Second Questions Group
= ((4*2) + (3*3)) / 5
= (8 + 9) / 5
= 17 / 5
= 3.40
Final Score
= ((2.5 * 5) + (3.4 * 3)) / 8
= (12.5 + 10.2) / 8
= 22.7 / 8
= 2.84

Scenario 5 - Weights reported for only a few Questions
Given that we have an Evaluation Matrix configured as shown in the images below, when evaluating a user, the system performed the calculation and reached the result of 2.83.
In these cases, only the Questions that have Weight will be considered.
Thus, the calculation was as follows:
= ((3*2) + (3*3) + (2*1)) / 6
= (6 + 9 + 2) / 6
= 17 / 6
= 2.83

Scenario 6 - Weights reported only for some Question Groups
Given that we have an Evaluation Matrix configured according to the images below, when evaluating a user, the system performed the calculation and reached the result of 2.97.
In these cases, Question Groups that do not have a defined Weight will have the number of Questions considered as their Weight.
In the scenario below, the last group has no defined weight and the calculation will consider that it has Weight = 2, which is the number of Questions it has.
Thus, the calculation was as follows:
First Questions Group
= (3 + 3 + 2) / 3
= 8 / 3
= 2.67
Second Questions Group
= (2 + 3) / 2
= 5 / 2
= 2.50
Third Questions Group
= (4 + 3) / 2
= 7 / 2
= 3.50
Final Score
= ((2.67 * 2) + (2.50 * 1) + (3.50 * 2)) / 5
= (5.34 + 2.50 + 7) / 5
= 14.84 / 5
= 2.97

- When Self-Assessment is enabled for the Performance Evaluation Cycle, approval is carried out by the immediate leader. If there is no self-assessment for the cycle, then approval is carried out by the assessed user.
